# How To Assign A "Bid Package" To A User

On a job of any size, who is chasing which trade is something a team usually keeps in its head or in a spreadsheet beside Zebel. Assigning a bid package puts that answer on the package itself: the people from your company working its buyout are named on the package and on the bid packages list, and the list can be narrowed to one person's packages. A package can be assigned to as many people as are working it.

An assignment is a label on the work, not a permission. It does not change what anyone can see or edit, and nobody is notified when you assign a package to them — tell them yourself.

To assign a "Bid Package" to a user follow these steps.

Navigate to the desired estimate, select the "Bid Packages" tab, and open the package you want to assign. In the row of buttons in the top right corner of the package is the assignment button. It reads "Unassigned" until somebody owns the package.

Press it. Every user in your company is listed with a tick box, their photo, their name and their email address. Type in "Search company users..." to narrow a long list — it matches on the email address as well as the name, which is what tells two people with the same name apart.

Tick everybody working the package. The list stays open as you tick, so you can pick several people in one go. Close it — press "Esc", or click anywhere outside it — and the assignment is saved.

With one person on the package, the button shows their photo and their name.

With more than one, there is no room for names and the button shows their initials instead. Hover over a set of initials to see whose they are.

To change who owns the package, press the button again and tick or untick names. To take the assignment off entirely, untick everybody.

Go back to the bid packages list and you will find an "Assigned To" column, showing who owns each package: one name in full, or initials where a package is shared. A package nobody owns reads "Unassigned" in grey. Where more people are on a package than the column can show, the last circle counts the rest — "+1" means one more name behind it.

You can assign from this column too, without opening the package. It is the one column on the list that does not open the package when you press it.

A package can also be handed over as you create it, so it does not arrive with nobody on it. Press "Add Bid Package" above the table, fill in the "Code" and the "Label", then press the "Unassigned" box under "Assigned To" and tick everybody working the package. It is the same list, and leaving it alone creates the package unassigned exactly as before.

To narrow the list to one person's packages, press "Filter" above the table, then press "Assigned To". Press "Select User..." and pick who you want. "Assigned to Me" is the first option and is you; the rest of your company follows; "Unassigned" at the bottom picks out the packages nobody has taken yet.

Each person you pick is added as a tag under "Assigned To", and the list keeps the packages belonging to any of them. A package shared by several people is kept if any one of them is picked. Press the circled cross on a tag to drop that person, "Clear" to empty this filter, or "Clear All" to clear every filter on the table.

Bid packages on a record template are assigned the same way. Press the "Settings" gear in the left-hand bar, select "Record Templates" under "Configuration", open the template, select its "Bid Packages" tab and open a package. The same button is in the top right corner, and it works exactly as it does on an estimate — so does "Assigned To" on "Add Bid Package".

This is worth doing, because a template's assignments come across with its packages. Start an estimate from the template and each package arrives already assigned to the people the template named, so the buyout is divided up before anybody opens it. Duplicating an estimate carries the assignments too.

NOTE, the filter is remembered. Leave the estimate and come back and the list is still narrowed the same way, which is worth knowing if packages you expect to see are missing — check the "Filter" button for the blue dot that says a filter is on.

NOTE, the "Assigned To" column can be turned off like any other. Press "Columns" above the table and untick it. Turning the column off does not clear the filter.

NOTE, assigning a package needs editing rights on the estimate, or on the record template. A viewer sees who a package is assigned to but cannot change it, and the button is greyed out.

NOTE, the assignment does not appear on the bid packages export or in report blocks. Both show every other column on the list, but not this one.
